Aptolix is a platform that helps teams build, train, and deploy AI chatbots and agents. This Privacy Policy explains how we collect, use, and protect information when you use the Aptolix platform (including aptolix.com). By using the platform or interacting with our website, you accept the terms in this policy.

1. What information we collect
   • Account & Contact Data: name, email, company, billing details (when provided), and any information you submit when you contact support or book a walkthrough.
   • Platform Content: the URLs, documents (PDF, DOCX, TXT), knowledge base items, and other content you upload or connect to your chatbot for training and use.
   • Chat Data & Usage: chat interactions between your end-users and your chatbot (used for analytics, diagnostics, and improving model responses for your instance).
   • Technical & Analytics Data: IP address, device and browser details, pages viewed, and other usage metrics collected automatically.
   • We do not intentionally collect sensitive personal data (for example: medical records, government IDs, or financial account numbers) as training content. If you include such data in your uploads, you must have a lawful basis and inform Aptolix immediately so we can remove it.
2. How we use your information
   • To provide and operate the Aptolix platform, including training and serving the chatbot you configure.
   • To communicate account, billing, onboarding, and product-related messages.
   • To analyze usage and improve platform features, reliability, and performance (often using aggregated or anonymized data).
   • To secure the platform, investigate incidents, and comply with legal obligations.
3. AI processing & third parties

   To deliver chatbot functionality, Aptolix uses third-party AI providers (for example, OpenAI) and infrastructure services. When you train or use a chatbot, text and content may be transmitted to those providers for processing in order to produce responses. These providers have their own privacy and security practices.

   We also use hosting, analytics, email, payment, and monitoring services (for example: Render, Google Analytics, email delivery services, payment processors). We only share data necessary for these services to operate on our behalf.

4. Payment processing

   Aptolix does not store full payment card numbers on our servers. Payments are processed by trusted third-party payment providers or via invoicing. Payment providers’ privacy policies govern how they handle payment information.

5. Data retention

   Content and training data linked to an active account are retained while your account is active. If you cancel your subscription or delete your account, we will remove your training data within 30 days unless we are legally required to retain it or you request otherwise. You can request immediate deletion by contacting connect@aptolix.com.

6. Security

   We employ industry-standard safeguards (encryption in transit and at rest, access controls, and regular operational reviews). While we work to protect your data, no system is fully immune to risk. Please avoid uploading sensitive personal data unless necessary and authorized.

7. Cookies & advertising

   We use cookies and similar technologies for site functionality, analytics, and optional marketing. You can control cookies via your browser settings. We may also use advertising platforms (e.g., Google Ads) for marketing and use their controls for ad personalization.

8. Your rights

   Depending on your location, you may have rights to access, correct, delete, or obtain a copy of your personal data. EU users (GDPR) and California residents (CCPA) have specific rights described below. To exercise rights, contact connect@aptolix.com.

   • GDPR: access, rectification, erasure, restriction, portability, and objection rights.
   • CCPA: the right to know what is collected, request deletion, and opt-out of sale (we do not sell personal data).
9. International transfers

   Data may be processed and stored in countries where Aptolix or our providers operate. By using Aptolix, you consent to transfers in accordance with this policy.

10. Children’s privacy

    Aptolix is not intended for children under 13. We do not knowingly collect data from children. If you believe a child under 13 has provided personal data, contact us and we will remove it.

11. Policy updates

    We may update this policy occasionally to reflect product changes. Material updates will be posted here and, where appropriate, we’ll notify account holders by email.
